Where configured for enquiry management, this may include Google Workspace or Google Drive records such as enquiry PDFs, uploaded attachments and an enquiry register.
Some infrastructure or third-party providers may process or store information outside Fiji. DAIM HUB selects providers and access arrangements based on business need and reasonable security considerations, but third-party platforms remain subject to their own infrastructure and terms.
5. When information may be shared
DAIM HUB does not sell personal information as a business model. Information may be shared only where reasonably necessary with authorised staff, contractors or service providers involved in handling an enquiry or delivering a service; with professional advisers; with infrastructure or software providers; when you instruct or authorise us; or where disclosure is required or permitted by law.
Where a project requires access to a third-party platform belonging to you, you are responsible for ensuring that you are authorised to provide the relevant data, account access and instructions.
6. Uploaded files and confidential material
Only upload information reasonably necessary for the enquiry. Do not upload passwords, secret keys, recovery codes, private cryptographic keys, highly sensitive personal records or confidential third-party material unless DAIM HUB has specifically agreed a suitable secure method and you have authority to disclose it.
DAIM HUB may delete, quarantine or refuse files that appear malicious, unlawful, irrelevant, excessively sensitive or unsafe.
7. Retention
DAIM HUB keeps information for as long as reasonably necessary for the purpose for which it was collected, including enquiry follow-up, project delivery, support, fraud prevention, audit, accounting, dispute management and legal obligations. Retention periods may differ by project and record type. Information may be deleted, anonymised or archived when no longer reasonably required.
8. Security
DAIM HUB uses reasonable administrative, technical and organisational measures appropriate to the systems and information involved, which may include access controls, anti-spam measures, validation, backups, secure hosting controls and restricted administrative access.
No website, email service, cloud platform, transmission method or computer system can be guaranteed completely secure. You accept that residual security risk exists whenever information is transmitted or stored electronically.
